With the HubSpot integration connected, the Nuvia app adds the Send template action to the HubSpot workflow editor. The send happens straight from the workflow: while you build the flow, search for “Nuvia” in the action picker, click the app to see the available actions and select Send template. You choose the Nuvia inbox and template only once and, from then on, every contact who enters the flow according to the enrollment rules gets the message on WhatsApp, with no manual action.
Available on: All Nuvia plans.
Who can do it: Users with permission to create and edit workflows in HubSpot. Connecting the integration in Nuvia requires the Administrator profile.
Where to set it up: In HubSpot, under Automation > Workflows.
What you need before you start
-
An active HubSpot integration, with Connected status in Nuvia Platform > Settings > Apps > HubSpot (How to set up the HubSpot integration)
-
At least one WhatsApp number connected in Nuvia (How to connect WhatsApp in Nuvia)
-
A template with Approved status from Meta in the inbox that will send it (How to create WhatsApp templates with variables)
-
Contacts with a valid phone number, including the country code (set the default country code in the Advanced tab of the Nuvia integration)
How to set up automatic template sending in HubSpot
In the topics below you'll find the detailed step-by-step shown in the GIF above.
Step 1: Create or open the workflow in HubSpot
-
In HubSpot, go to Automation > Workflows
-
Click Create workflow and select From scratch, or open an existing workflow
-
Choose a contact-based workflow and set up the enrollment triggers: they define which contacts enter the flow
Step 2: Add the Send template action
-
With the workflow open, click the + icon to open the action picker
-
In the search field, type Nuvia to find the app
-
Click the Nuvia app to see the available actions
-
Select Send template
Step 3: Choose the inbox and the template
-
Select the inbox (WhatsApp number) that will send the message
-
Select the template to send: only templates with Approved status can be sent
-
Save the action
Step 4: Review and turn on the workflow
-
Click Review and publish
-
Check the enrollment triggers, whether existing contacts should enter the flow, and whether re-enrollment behaves the way you want
-
Turn on the workflow
Once it's on, any contact who enters the flow and reaches the action gets the template on WhatsApp automatically.
What happens when a contact enters the flow
-
When it reaches the Send template action, HubSpot triggers Nuvia, which sends the template from the selected inbox's number
-
Since the send uses a Meta-approved template, it works even outside the 24-hour window: this is the format required to start conversations with contacts who haven't replied yet
-
If the contact replies, the message arrives in Nuvia's Conversations module, in the inbox that sent it, and the reply opens the 24-hour window for free-form messages
-
Each send counts toward the WhatsApp number's daily limit (Tier)
Limits and rules
| Rule | Value |
|---|---|
| Template status | Only Approved templates can be sent. Pending or Rejected templates aren't sent |
| Contact phone | Must be valid and include the country code. The integration's default country code covers numbers without one |
| Daily send limit | Follows the WhatsApp number's Tier, from 1,000 sends/day on Tier 1 up to unlimited on Tier 4 |
| Resending to the same contact | Only happens if re-enrollment is turned on in the workflow triggers. By default, HubSpot doesn't re-enroll contacts who have already gone through the flow |
| Workflow type | Use contact-based workflows: the template is sent to the contact enrolled in the flow. |
Common errors and solutions
| Problem | Likely cause | Solution |
|---|---|---|
| The Nuvia app doesn't show up in the action picker search | Integration disconnected or connection expired | Check for Connected status in Platform > Integrations > HubSpot and reconnect the account if needed |
| The template doesn't show up in the action's list | Template is Pending or Rejected, or belongs to another inbox | Check the status in the Message templates section of the selected inbox and choose an Approved template |
| The contact entered the flow but didn't get the message | Invalid phone or missing country code | Fix the number in HubSpot and set the default country code in the integration's Advanced tab |
| The workflow is on, but nothing is sent | Contacts don't meet the enrollment triggers, or already went through the flow without re-enrollment turned on | Review the triggers and the workflow's enrollment history in HubSpot |
