Going out for lunch, a meeting or vacation? Set your availability to Away or Unavailable and you leave the team's lead rotation until you're back. That way no new lead sits waiting for you.
Available on: All plans.
Who can do it: Each agent sets their own availability. Changing someone else's depends on the “Manage availability” permission.
Set your availability
-
Open the account menu → Update your availability
-
Choose the status and the reason:
-
Away: Lunch, Break, Meeting or Be right back
-
Unavailable: Off hours, Vacation, Day off or External appointment
-
-
(optional) Enter the time you'll be back
-
Confirm
With a return time, you rejoin the rotation automatically at that time. Without one, you return manually from the same menu.
What changes while you're away
-
You stop receiving leads distributed automatically by the team, in every distribution rule
-
Conversations already assigned to you stay with you
-
Manual assignment, owner coming from HubSpot and the inbox's fixed owner keep working even while you're away
-
If the whole team is away, the new conversation stays in Unassigned, flagged as needing attention
-
In the Equal by stage rule, whoever comes back joins the team's pace, without receiving all at once the leads they missed
For team managers
-
See each person's availability in Settings → Users (Availability column), in Teams and in Conversations → Team presence
-
The Manage availability permission defines who can change other people's status: Own, Team, All or No access. Admins and anyone who edits Settings have All by default
-
In Settings → Users → Audit tab, the admin sees who changed what in users, invites, teams, permissions and availability, with CSV export
