Updated on October 2, 2026

A campaign lets you send messages at scale to a contact list via WhatsApp, LinkedIn or other channels.

**Available on:** all plans.

**Who can do it:** any user with permission to view campaigns.

## What you need before you start

-

At least one [connected LinkedIn account](https://nuvia.ai/en/docs/artigos/14489367-how-to-connect-linkedin-to-nuvia)

-

A contact list with the LinkedIn column filled in

### How to launch a LinkedIn campaign in Nuvia

#### Step 1: Start creating the campaign

1.

In the sidebar, click **Campaigns**

2.

Click **New Campaign**

3.

Fill in the **Campaign name** field (up to 100 characters). E.g. “Enterprise Prospecting Q1”

4.

Select the **Campaign type** – choose **LinkedIn** for your campaign

5.

Click **Next**

Tip

the available channel types depend on the integrations you've already set up. If LinkedIn doesn't appear, check whether the channel was connected on the **Apps** screen.

#### Step 2: Define the audience

1.

For the activation type, select **Manual** (for your first campaign, start with manual activation)

2.

For the audience source, select **List**

3.

Choose the contact list to use as the audience

4.

In the side panel, check the audience preview, which shows the number of eligible and ineligible contacts per channel

5.

Optionally, turn on **Ignore business hours** if you want to send outside the default hours (8 a.m.–6 p.m., Monday to Friday)

6.

Click **Next**

Important

once you move past this step, the campaign is created as a **Draft** and you can't change the audience. Review carefully before continuing.

#### Step 3: Set up the message sequence

1.

Click **Add step** to create the first step of the campaign

2.

For each step, set up:

-

**Message** – type the text to send. To personalize the message, use variables by typing v_ (or var_) and selecting the option you want from the list.

-

**Interval** – set the wait time between this step and the next (if there's more than one step)

-

**Conversation owner** – **required**. Defines who follows up with the lead after the conversation starts. Choose between **Unassigned**, **HubSpot Owner** (available with the integration connected) or an **active user** on the platform.

-

Who will receive the contacts' replies:

-

**AI agent** – replies will be handled by the Smart Funnel configured on the channel

-

**Human agent** – replies will go straight to the team's inbox

3.

Use the preview in the side panel to see how the message will look with a contact's real data. Move between contacts using the **Previous** and **Next** arrows

4.

If you want, add more steps by repeating the process

Warning

the **Conversation owner** field is also required on LinkedIn steps; without choosing an owner, the step won't save. The owner **can't be the AI agent**. The **Handling** field stays disabled until you choose the owner, and when owner and handling agent are different people, the **owner** is the one responsible for the conversation. Steps created before this feature are treated as **Unassigned** and require choosing an owner when you edit them. The step card shows the **Owner** label.

#### Step 4: Launch the campaign

1.

On the summary screen, review all the settings: name, channel, audience, steps and variable mapping

2.

Click **Launch campaign**

3.

Confirm in the confirmation dialog that appears

4.

The campaign changes to **Active** status and sends start being processed

Important

after you launch the campaign, the message and contacts can't be changed. If you need to make changes, you'll have to pause the campaign and create a new one.

### Automatic connection invitation

In LinkedIn campaigns, contacts who aren't your connections yet receive a connection invitation **automatically** before the first message. There's no longer a button to turn this step on or off: the invitation always happens when the campaign's first step is LinkedIn and the contact isn't a connection.

If they're already a connection, the invitation is skipped and the message goes straight out.

In the **Connection invitation** card (Step 3), you decide whether to send a note with the request:

-

Write the **Invitation note** (up to 300 characters) to include custom text in the connection request. Notes increase the acceptance rate. There's no longer a switch to turn the note on/off: the field's content decides — filled-in text sends the note, an empty field doesn't.

-

Use variables (v_ or var_) to personalize the note with the contact's data and, when the audience is a list, with the list's columns.

-

The setting is saved automatically when you leave the field, so you don't lose your edit even if you leave without launching the campaign.

Important

the custom note requires a LinkedIn account with Premium, Sales Navigator or Recruiter. Without one of these plans, the note field is disabled and the invitation is sent without a note; the text is also truncated at 200 characters. Sending the invitation itself keeps working normally.

Contacts whose invitation was sent but not accepted within the deadline get the **Invitation expired** status (gray badge), both in the campaign's contact list and in the timeline.

#### When the profile visit or invitation doesn't complete

Profile visits and invitations depend on the connection with LinkedIn. When that connection doesn't respond (network outage, timeout), Nuvia doesn't keep insisting on the same contact:

-

**After each failure**, the contact goes to the end of the queue and the campaign continues with the others; a problematic contact no longer blocks the whole campaign

-

**On the third failure in a row within 24 hours**, the contact leaves the campaign with **Delivery error** status in the **Contacts** tab, and the failure is recorded in their history

-

**Spaced-out failures don't add up:** a failure more than 24 hours apart resets the count

-

**A successfully sent invitation resets the count**

Good to know

reaching the daily invitation limit and refusals by LinkedIn itself do **not** count toward this; they're normal situations handled by the pacing. The count only applies to connection failures, when Nuvia can't even reach LinkedIn.

### Invitation-only campaign

To create a LinkedIn campaign that only sends the connection invitation, with no message afterward: set up the campaign normally up to Step 3, add **a single step** of type **Text** and leave the **Message** field empty, then launch the campaign.

The criterion has two parts: the step must be of type Text, on the LinkedIn channel, and with no written content. Then Nuvia understands it's a pure invitation step.

When the contact accepts the invitation, the enrollment is closed automatically (status **Completed**, connected); there's no message to send afterward.

Warning: this step without a message can only exist on its own in the campaign. If you try to add another step alongside it, Nuvia blocks it with the error “The invitation step must be the only step in the campaign” — mixing the two would make it ambiguous whether the campaign ends on acceptance or moves on to the next message.

Good to know

this **rule** applies **only** to **LinkedIn.WhatsApp** campaigns are **not** affected; an HSM template step stores its content in the template name, not in a text field, so it's never treated as a pure invitation.

## Frequently asked questions

## Frequently asked questions

**How do I use variables in messages?**

In the message field, type v_ (or var_) and choose the variable you want to use.

**Do I need to choose an owner on every campaign step?**

Yes. The **Conversation owner** is required on each step, including LinkedIn ones. If you don't want to assign anyone right now, choose **Unassigned** — but you have to make a choice, or the step won't save. The AI agent can't be the owner.

**Do I need to turn on the connection invitation somewhere?**

No. The connection invitation is automatic whenever the campaign's first step is LinkedIn and the contact isn't your connection yet. The old “First step as invitation” button was removed. In the **Connection invitation** card, you only decide whether to send a note with it.

**What does the “Invitation expired” status mean?**

It's the final state of a contact whose connection invitation was sent but not accepted within the deadline. It appears as a gray badge in the contact list and in the timeline, distinguishing “expired without being accepted” from “sent and didn't reply”.

**A contact ended up with “Delivery error” without any message sent. What happened?**

The profile visit or the invitation failed three times in a row within 24 hours because of a connection problem with LinkedIn, and Nuvia closed that contact so it wouldn't keep trying indefinitely. Check whether the LinkedIn account is still connected in **Platform > Integrations**. Once it's back to normal, add the contact to a new campaign.

**Can I edit a campaign after it's launched?**

No. After launch, the messages and audience are frozen. If you need to adjust something, pause the campaign and create a new one with the fixes.

**What are the default business hours for sending?**

The default is 8 a.m. to 6 p.m., Monday to Friday, in the America/São Paulo time zone. You can turn off this restriction by checking the **Ignore business hours** option while setting up the audience.

**Can I send the same campaign to more than one list?**

Each campaign is tied to a single audience source (a list or a funnel stage). To send to multiple lists, create separate campaigns or merge the contacts into a single list before launching.

**How do I create a campaign that only connects, without sending a message afterward?**

Create the campaign with a single step of type Text and leave the message content empty. Nuvia understands it's an invitation-only campaign: it sends the connection request and closes the contact as completed when they accept; no message is sent afterward. This step without a message must be the only one in the campaign. It only applies to LinkedIn; WhatsApp campaigns aren't affected.

**Is there still a switch to turn the invitation note on/off?**

No. The note is defined only by the field's content: if you write text in the Invitation note, it's sent with the connection request; if you leave it blank, the invitation goes out without a note.
