After finding prospects in **Search**, you can turn the results into a named, reusable list.

**Available on:** all plans.

**Who can do it:** any user with access to Search and Lists.

**Module:Main Screen > Side Menu > Search**

## What you need before you start

-

Access to the **Search** module and the **Lists** module

-

Permission to create and/or edit lists

-

Have run (or know how to run) a search with the filters you want

-

(Optional) The destination list already exists, if you want to add records to an existing list

## Select records in the search

1.

In the side menu, go to **Search**

2.

Apply the filters you want (job title, company, location, industry, etc.)

3.

Wait for the results to load in the table

4.

Select the records you want to save:

-

Use the **checkbox** in the table header to select all results visible on the page

-

Or check records one by one by clicking the box next to each row

5.

Check the selection counter at the top of the table

Important

The checkbox in the header may select only the records on the **current page**. If the search returned many results, check whether the **“Select all results”** option exists before you continue.

## Create a new list from the search

1.

With the records selected, click **Add to list**

2.

In the dialog that opens, select **Create new list**

3.

Type the **list name** (max. 200 characters)

4.

Click **Save**

5.

Wait for the confirmation with the number of records added

The system automatically creates the list with the correct object type (**Contact or Company**) based on the selected results.

Additional columns are created automatically with profile data (**Job title, Department, Seniority, Country, Region, City for People; Domain, Industry, Employees, Revenue for Companies**).

## How to know it worked

-

A success notification shows how many records were added

-

When you go to **Lists** in the side menu, the new list appears with the correct record count

-

When you open the list, the records appear with the columns filled in

## Add to an existing list

Use this when you want to enrich an existing list with new records from the search.

1.

With the records selected, click **Add to list**

2.

In the dialog, select **Select existing**

3.

Search for or select the destination list in the search field

4.

Click **Save**

5.

Wait for the confirmation

The system automatically skips duplicate records, so contacts already in the list aren't added again. The summary shows how many were added and how many were skipped.

ModeWhen to use

**Create new list ** A new segment with no equivalent list. Ideal for starting a new prospecting campaign

**Add to existing list** Enrich or update a list already in use. Ideal for adding to a campaign in progress

## Limits and rules

RuleValue

**Maximum records per operation** 5.000

**List name (when creating a new one)** Max. 200 characters

**Asynchronous processing** Enabled for volumes above 1,000 records

**Deduplication** Automatic – duplicate records in the destination list are skipped

**List type** Set automatically by the result type (Contact or Company)

**Dynamic lists (automatic updates)** Not supported – lists are static

Important

For large volumes (above 1,000 records), the operation is processed in the **background**. The list won't be fully updated until it finishes, so wait for the notification before using the list in a campaign.

## Common errors and solutions

ProblemLikely causeSolution

**The “Add to list” button doesn't appear** No record selected Select at least one record in the results table

**Operation finished with 0 records added** All selected records already existed in the list Expected behavior, duplicates are skipped automatically

**The created list doesn't appear in the Lists module** Asynchronous processing in progress Wait for the completion notification and refresh the Lists page

**Permission error when adding to an existing list** You don't have edit permission on that list Check with the admin or create a new list of your own

## Frequently asked questions

## Frequently asked questions

**Can I create a list with all the results of a 2,000-record search at once?**

Yes, as long as you select the “Select all N results” option (not just the current page).
The maximum limit per operation is 5,000 records.
For volumes above 1,000, the operation is processed in the background.

**What happens if a record from the search already exists in the destination list?**

The system automatically skips the duplicate record and adds only the new ones.
The operation summary shows how many records were added and how many were skipped as duplicates.

**Does the list update automatically when I run a new search with the same filters?**

No. Lists are static: they reflect the records selected at the time they were created. To keep the list up to date, repeat the search and use the **Add to existing list** option.

**Can I create a list without a name?**

No. The list name is required. The system won't let you save without filling in this field.

**Can I undo adding records to a list?**

There's no automatic undo. To remove records added by mistake, open the list in the **Lists** module and remove the records one by one.

**Is there a difference between creating a list here and creating a list directly in the Lists module?**

The main difference is convenience: here, the records come preselected from the search result. In the **Lists** module, you create an empty list and add records manually or through a CSV import. The end result is the same type of list. See [How to manage lists and contacts](https://nuvia.ai/en/docs/artigos/14499469-how-to-manage-lists-and-contacts) for the full step by step.

**Can I link the new list to a campaign right away?**

Yes, as soon as the operation finishes (confirmed by the notification), the list is available to select in the **Campaigns** module. For WhatsApp campaigns, make sure the contacts have a phone number filled in.

**What's the best practice for naming lists created from search?**

Use descriptive names that indicate the segment and the date.
Examples: SDRs - SaaS B2B - Mar/2026, Busca LinkedIn - CFOs - Fintech.
Avoid generic names like Lista 1 or Teste.
